Preparing and Planning for your Sydney Event

Event and conference planning can be highly stressful - or extremely energising. Often it's both. Planning a successful event takes time, cooperation, and an eagle eye for detail.

Before you invite your guests or book your venues, you need to plan what you are trying to achieve with the event and prepare your budget. You should also create a timeline or checklist that you can refer back to for the rest of your event to be sure you don't forget anything.

Here’s some tips to help you successfully plan and prepare for your next event.

The following tips are from the Sydney Event Planning Toolkit, produced by Business Events Sydney.

Tip# 1

Define what you hope to achieve from your event

Work out what you want to achieve from your event and stick to it. Develop an event outline and checklist to help you work out your objectives and refer to it continually throughout the event process.

Tip# 2

Be prepared

Don't launch into the planning before you've done the preparation. One of the most frequent mistakes made by new event and conference planners is to launch into the 'planning' before they've done the 'preparation' leaving themselves vulnerable to budget blowouts, double-booking, lost tasks and mixed messages.

Tip# 3

Are your conference or event ideas practical?

Be thoroughly and strategically prepared. The problem is that if you are not thoroughly and strategically prepared, as your event develops and evolves, you are likely to find you have already locked in dates, places, venues and people that later become inappropriate or impractical.

Tip# 4

Event and conference timeline

Work backwards from your proposed event date. Creating a timeline will force you to work backwards from your proposed event date and build in all the necessary lead-times for each activity. Knowing that it will take printers three weeks to deliver your invitations will dictate how early you need to confirm the design, and how much time you are able to give your guests to RSVP.

Tip# 5

Flexible event budgets

Develop an accurate budget. Allowing flexibility for unexpected expenses will enable you to prioritise how and where you will spend your money. Knowing just how much the venue and catering cost will govern your decision on the type of entertainment to engage.

Tip# 6

Activity plan

Draw up an event activity plan complete with a 'to do' checklist and deadlines. Your plan should cover every large and small activity that needs to happen in planning your event. If you have already prepared an event or conference timeline, you may be able to use this (or tweak it slightly) as an activity plan.

Tip# 8

Ask questions when planning your events

Help make the right decisions by asking lots of questions. As you're planning your event and booking venues, hiring caterers and sourcing entertainers, you should be asking yourself a series of questions that will help you make the right decisions. Consider:

  • How will you pay for the event? Do you need funding? Can you seek sponsorship?
  • Do you need permits for your event? Contact your local council for advice on this.
  • Do you need permission or licences to use audio-visual materials?
  • Do you need to post advertising material - such as posters and banners - in public areas?
  • Does your venue need to be accessible to older people with disability? Do you need a sign language or other language interpreter?
